Terms of Service

These terms govern your use of the Polaris software, website, and related services. By using them, you agree to these terms. If you have signed a separate licence agreement, that agreement prevails where it conflicts with these terms.
1. Who may use the services
You must be at least 18 and able to enter a contract. If you use the services for a business, you confirm you are authorised to act for it.
2. Your account & software licence
You are responsible for your login credentials and for activity under your accounts, including those you create for staff. Polaris software is licensed to you under a one-time, perpetual licence for the version and edition you purchase — once fully paid, it is yours to use and does not expire. You may not resell, sublicense, or reverse-engineer the software, or use it unlawfully.
3. Your data is yours
The business and personal data you enter belong to you. You may request a full export at any time. Personal data is handled per our Privacy Policy; for most client data, you are the controller and Polaris is a processor.
4. Payment
Fees are as quoted and invoiced, in Ugandan Shillings. Standard terms are 50% deposit to begin and the balance on go-live, unless agreed otherwise in writing. Support, upgrades, and additional modules (Polaris Care) may be billed separately and ongoing. Bug fixes and security updates for your version are provided free of charge.
5. Availability
We work to keep our services available but do not guarantee uninterrupted access to the website or portal. The software itself is designed to run offline and does not depend on our website being up.
6. Acceptable use
You must not use the services to break any law, sell prohibited or counterfeit goods, store data you have no right to, attempt unauthorised access, introduce malware, or resell the services except as your licence allows. We may suspend services for serious or repeated breach, with notice where practicable.
7. Warranty & liability
The software will perform substantially as demonstrated to you under normal use. Except for this, it is provided "as is." To the maximum extent permitted by law, Polaris is not liable for indirect or consequential loss, and our total aggregate liability is limited to the fees you actually paid. Nothing here excludes liability that cannot be excluded by law. You are responsible for your own devices, passwords, connectivity, and reasonable backups.
8. Governing law
These terms are governed by the laws of Uganda, and the courts of Uganda have jurisdiction.
9. Changes
We may update these terms; material changes will be communicated. Continued use after a change means you accept the updated terms.
